The Office Administrator acts as the first point of contact at the WorkBC Center for clients, employers and the general public. In this role, the Office Administrator ensures that clients are directed to the correct stream for WorkBC services. The Office Administrator is also responsible for ensuring that data entries for clients’ information are completed on a regular basis in the Integrated Case Management system.
What you’ll be doing:

Reception duties including greeting clients on the phone and in-person, providing referrals to other community resources

Support clients in completing the Online Employment Services application process
-
Support staff and clients with administrative tasks such as booking appointments, data entry, photocopying, faxing, answering phone inquiries, correspondence, purchasing supplies and petty cash reconciliation

Maintain internal administrative procedures such as data collection, monthly inventory and client tracking

Input, edit, and update client information in the Integrated Case Management system and complete invoices and billing
-
Transfer data between different software applications, verifying accuracy and completeness

Follow-up with job sustainment clients in a timely manner to confirm employment status and details and ensure clients receive the appropriate support

Assist with purchasing procedures i.e. ordering, monitoring, and tracking

Adhere to onsite Health and Safety Procedures

Other duties as assigned
What you’ll need:

We are looking for an outgoing people person with outstanding customer service skills who will make all clients feel welcome

Excellent administrative and computer skills including Microsoft Office Suite

Attention to detail, quick and high accuracy data entry

Ability to prioritize and manage multiple competing demands

Strong communication and interpersonal skills

Comfortable working with diverse clients in a busy employment center

Ability to develop and manage office procedures and systems
-
Previous experience in WorkBC is an asset

Ability to speak a second language is an asset

A valid clear criminal record check (including working with vulnerable populations) is required
