Job Description

The Reservation/Revenue Analyst at the YWCA Hotel works closely with all departments to make well informed decisions about potential new business and hotel trends.  This position is responsible for all functions related to Online Travel Agents (OTA), forecasting, statistics, budget preparation, in-house accounting and assisting with online reservations as follows:

Responsibilities include:

  • Manage the Property Management System (PMS)
    • Ensuring that mkt codes/ rate codes/rates are inputted (with yield set ups for event nights) and rate sheets are distributed
    • Staff PMS training
    • Conference and residency blocks are maintained,
    • Review journal entries and all post master accounts
    • Run merge profiles
    • Implement system upgrades
    • Act as the in-house Opera support person as required
    • Update all statistics from Opera and prepare informational graphs.
  • Online Travel Agents (OTAs)
    • Closeouts for all OTA’s
    • Check all bookings
    • Input data for OTAs - including rates and seasonal changes
    • Review bookings and invoices
    • Track OTA bookings and look for patterns.
    • Manage and monitor OTAs to ensure accurate pricing
    • Monitor rooms inventory to maximize occupancy and increase average rate.  This includes room inventory in all distribution channels.
  • Language Schools
    • Responsible for Language school bookings 
    • Answer emails, do quotes, book rooms, prepare invoices and track payments
    • Review school arrivals and ensure payments and fixed charges are in
    • Do invoices and apply payment when received
    • Liaise with Language schools after student arrivals
  • Hotel Sales Department
      • Work closely with group Reservations Coordinator, ensuring group blocks, contracts, cut-off dates, rooming lists, billing and group sales bookings are accurate
      • Work with management group to maintain group/transient pricing and inventory controls to ensure revenue maximization
    •  Assist with post stay emails, bi-annual e-newsletters, compiling mailing lists from Opera and assist with e-newsletter content development.
    • Attend occasional tourism/hospitality related presentations, meetings or workshops when necessary.
    • Attend various in-house hotel meetings such as Operations and Safety committee
    • Know all positions in the hotel including front desk, reservations, group sales and meeting space.
  • Financial Duties
    • Monitor Daily Revenue sheet as prepared by Night Audit
    • Prepare forecasts for monthly board report and forecasts throughout the year as required
    • Prepare DMF sheet for accounting
    • Distribute Budgeted Revenues for Daily revenue report
    • Monitor Opera revenue postings for accuracy and reasonableness
    • Responsible for petty cash
    • Assist in budget preparation
    • Complete Trends annual summary report
    • Review all Opera journal entries
    • Prepare Balance Scorecard
    • Cover for cash counting and banking, as required
    •  Responsible for collating the inventory


  • Reservations and/or revenue management experience required at a supervisory level
  • Must have 2-3 years of experience and knowledge in Reservations and Revenue management, and knowledge and experience in Front Office would be an asset
  • Post-secondary education in hospitality or a related field a definite asset
  • Technical ability must include intermediate/advanced skills in Microsoft Excel with good experience in Windows, Microsoft Word, and other hotel related systems
  • Proficiency with Opera and extranet systems including OTA extranets and channel manager(s)
  • A valid clear criminal record check (including working with vulnerable populations) is required.
  • Successful applicants are required to be fully vaccinated against COVID-19, exemption requests must be supported by valid, legal documents
