Job Description

What you’ll be doing:  

Purchasing / Finance:

  • Purchasing and administration of giftcards, business cards and transit tickets for YWCA programs  

  • Receiving giftcards, business cards and transit tickets, organizing disbursement to requestor(s), reconciling inventory to ensure accurate tracking   

  • Downloading invoices from supplier portals 

  • Identifying equipment to purchase for managers across the organization  

  • Resolving internal customer issues and problems to ensure quality product delivery and satisfaction   

  • Developing organization-wide training materials on Purchasing and Finance procedures  

Administrative:  

  • Booking rooms/locations for meetings and events, and organizing details for such events  

  • Researching, compiling, and summarizing information for reports and presentations   

  • Maintaining physical and digital filing systems  

  • Inputting and updating information in databases, software systems, and spreadsheets  

  • Preparing meeting agendas and taking meeting minutes  

  • Directing individuals to appropriate personnel, schedules appointments, and helping to process mail  

  • Developing effective working relationships with staff and stakeholders   

  • Maintaining a pleasant and secure working environment  

  • Acting as a liaison with other departments  

  • Provide back-up duties for Facilities Department when management is not present  

  • Other duties and projects as required.  

What you’ll need: 

  • Minimum 2 years purchasing or office administration experience  

  • Excellent communication skills – written and verbal  

  • Highly organized with good time management skills  

  • Flexible, self-motivated, able to work independently  

  • Detail oriented  

  • Strong computer skills – working with Microsoft 365  

  • Experience with Clipchamp or other visual training development tools, preferred 

  • Ability to meet deadlines and adapt to changing priorities  

  • Customer service experience  

  • A valid clear criminal record check (including working with vulnerable populations) is required.

Pay Rate: $28.05 per hour
