Job Description

The Assets Clerk ensures seamless processing of repair request and preventative maintenance for YWCA Metro Vancouver housing sites.  The Assets Clerk assists with Move in and Move Out Inspections, when needed.  The Assets Clerk understands the impact of this position to other business functions that depend on their accuracy and efficiency. Maintaining positive relations with both tenants, residents and vendors is an essential function for this position. 

What you’ll be doing: 

  • Prioritize and respond to tenant and resident repair requests 

  • Schedule vendors (plumbers, electricians…) and arrange for proper notice to tenants and residents impacted, as needed. 

  • Create a daily schedule for repair and maintenance work at housing sites, assigning the work to the Maintenance Workers providing proper notice to tenants and residents impacted. 

  • Schedule preventative maintenance work and arrange for proper notice to tenants and residents impacted. 

  • Carry out move out and move in inspections when the last/first day of the month happens between a Tuesday and a Friday 

  • Be available to respond to afterhours housing emergencies (fire, flood, no working toilet, no working fridge...) four days per week 

  • Process all required paperwork and maintain adequate records for reporting and tracking 

  • Maintain filing of repair requests 

  • Maintain records of preventative maintenance  

  • Maintain and update the list of preferred vendors for each site 

  • Create purchase requisitions and obtain approval prior to placing supply orders 

  • Maintain list of warranties for all housing sites  

  • Other duties as required  

What you’ll need: 

  • Experience in non-profit housing an asset. 

  • Some knowledge of building maintenance and repairs an asset. 

  • Able to communicate both verbally and in writing. 

  • Able to work efficiently as a part of a team as well as independently. 

  • Computer literacy, including working skills of Excel and e-mail. 

  • Attention to detail in all areas of work. 

  • Good organizational, time management and prioritizing skills. 

  • Strong work ethic and positive attitude. 

  • A valid clear criminal record check (including working with vulnerable populations) is required.  

  • The YWCA Metro Vancouver’s COVID-19 vaccination policy is currently suspended and as a result, vaccination from COVID-19 is not required at this time. However, should circumstances change and the YWCA deem it necessary to reintroduce such policy, you may be required to provide proof of vaccination against COVID-19 in order to be eligible to continue performing your duties.
